Your new company:

Our client is an fast-growing, international construction consulting group which has in Warsaw is a hub office for Central and Eastern Europe. Our client services, which are largely provided to investors and funders in the commercial real estate sector includes: management, advisor and technical services.

About your new role:

The Business Administration Manager reports to the Regional Director, a Member of the Management Board based in Warsaw and will be lead clients’ business administration and management accounting functions.

Areas of responsibility:

  • Oversee all office operations including reception, cleaning, purchase of office consumables, etc.
  • Prepare monthly management accounts and cash flow forecasts and provide managers with data for monthly project accounts,
  • Participate in review of monthly project accounts and audit project accounts,
  • Maintain an overview of and check bank accounts and manage the relationship with a bank,
  • Manage relationships with out-sourced service suppliers e.g. accountants, IT support, etc. and manage purchasing of supplies and equipment e.g. computer equipment, mobile phones, office supplies, etc.,
  • Manage payments to suppliers including sub-contractors checking that receipt of goods or services are confirmed as satisfactorily delivered and authorised by the recipient,
  • Manage payments of salaries, etc. to personnel and authorise payments as a co-signatory to our bank account,
  • Maintain forecasts of projected issue of invoices, prepare and issue invoices, maintain credit control and provide management with ageing debtor reports,
  • Assist as required from time to time in the recruitment and appointment of staff (directly employed and self-employed) and prepare and arrange signature of contracts of employment and self-employment,
  • Provide general advice in terms of employment law (Civil Code) and maintain records of holidays, illness and other absences; and Maintain personnel records,
  • Establish office procedures and processes as necessary,
  • Maintain files of contracts and agreements for our services,
  • Assist and advise the project executives in the negotiation of contracts for services with the clients,
  • Check and arrange payment of authorised business expenses,
  • Make staff travel arrangements (hotel, train and flight bookings and/or hire cars) as required from time to time.

What you’ll need to success:

  • Bachelor’s degree in management, administration, management accounting, economics or similar,
  • Good general knowledge of taxation, management accounting, human resources, and civil law,
  • Minimum 5 years’ experience of business administration, preferably a consulting business in the construction or real estate sectors,
  • Minimum 2 years’ experience as a team manager or business unit leader,
  • Ability to lead and mentor allocated staff,
  • Effective communicator in English and Polish languages orally and in writing,
  • Computer literate.
