We are working as a recruitment provider searching on our Client's behalf for a person in the following role:

 

Portfolio Management Office Analyst

 

This role facilitates the development and ongoing management of an optimized global Digital Infrastructure portfolio by supporting the Portfolio Lead in their activities, in ensuring senior management decisions lead to the fulfilment of strategic objectives through the delivery of programs, projects, services and other BAU activities. Primarily focus is on Resource Management, Finance Management, governance, project inception and reporting, in addition to general administration activities. A further breakdown is outlined below.

 

Key accountabilities:

Resource Management:

  • Creation and tracking of Resource Requests (RR) & Work Requests (WR) within internal systems for all resources globally;
  • Creation and tracking of non-requests (software’s) in ITCM: licenses, annual maintenance, subscriptions and services;
  • Onboarding of new work requests and ensuring appropriate financial and technical coverage is available before passing for execution either as business as usual or project;
  • Tracking contract end dates and ensuring all are renewed within a timely manner;
  • Establishing strong relationships with the various central resourcing teams, particularly the Planning, Recourse & Enablement team and having the ability to escalate RRs when needed;
  • Forecasting of resources and ensuring department strategy is in line with Business;
  • Holding various 1:1s with the team ensuring that they are on track to meet original transition / conversion plans/forecasts and alignment to funding areas;
  • On boarding / Off boarding of resources

 

Finance Management:

  • Financial planning and budget forecast submissions;
  • Responsible for liaising with various members of the team and ensuring that finance forecast are up to date

 

Clarity:

  • Approving and tracking of timesheets, ensuring department is always compliant and chasing those who do not compliant on time;
  • Responsible for sending and chasing completion of timesheets;
  • Tracking and ensuring that all resources are billing to the right projects;
  • Expert understanding of Clarity and Open Work Bench to ensure set up, forecasting, management and control of DI Overhead resourcing costs.

 

Reporting:

  • Creation of material for various governance meetings which include strategic focus and delivery focus (fortnightly), including secretariat responsibilities;
  • Collation of various data, analysis, understanding and presentation to various audiences;
  • Monthly financial reporting.

 

Ad hoc:

  • Creation/Input into monthly Digital Infrastructure Newsletter;
  • Creation of materials and associated logistics for Quarterly DI Town Halls;
  • Roll out and active promotion of good Portfolio, Programme and Project Management methods and practices (providing a consultancy service, where required i.e. coaching, guidance, advice etc);
  • Ensuring all central requests are completed;
  • Ensuring the team are compliant on mandatory training;
  • Creation, management and updating of Business Continuity Plan and call cascade lists;
  • Excellent Microsoft Office skills, particularly Excel and PowerPoint a must.
