Help-Desk Administrator with Languages

Key Accountabilities:

  • Provides multilingual managed Helpdesk service
  • Manages and maintains the data in the computer aided facilities management system (Maximo system) to deliver and report upon the planned and reactive tasks for technical services, soft services and contract management
  • Receives the GUTS ticket information, reviews and loads into the appropriate Maximo task and assigns to the appropriate resources. Manages task through to completion
  • Raises web quote and once approved from CBRE in accordance with their process raises 3rd party supplier purchase orders, arranges risk assessments and method statements with suppliers and ensure s suitable review and approval from all relevant parties prior to commencement
  • Sets up new suppliers in accordance with CBRE and CBRE policy and process
  • Chases suppliers to ensure delivery in accordance with agreed timelines
  • Provides proactive communication to CBRE on task progress to closure
  • Chases on site team for agreement that the task is completed and to the correct specification
  • Reviews feedback from GUTS and undertakes investigation and remedial actions as necessary
  • Work with Workflow Lead to investigate any invoice issues liasing with the supplier as needed
  • Ensure supplier invoices are paid in accordance with agreed payment terms
  • Provide any additional information that may be required to support invoicing for CBRE
  • Provide feedback to suppliers in relation to the task delivered an agree any remedial actions
  • Provide management reporting in relation to 3rd party performance to Sourcing Lead
  • Provide management information reporting against SLA's at least monthly
  • Work with Technology Lead to develop real-time dashboard on planned and reactive tasks (Technical, Soft and Contract Management Tasks)
  • Work with the Transformation Team to transition administration tasks from on site team to Central Operations following a review and agreement of the optimised procedure
  • Create new standardised operating procedures in conjunction with the QHSE
  • Lead and agree the training and a 12 month rolling compliance audit timetable
  • The tracking and management reporting of hazards reported by the site team to ensure timely action, identifying actions, improvements and implementation
  • The closure of hazards on behalf of the site team
  • Database management of Client Event tickets
  • Maintaining on-site contract management, financial administration, quality management and HR systems, processes and records
  • Manage room bookings for site/across multiple sites
  • Compile energy reports to external bodies (SEAI, CSO) on behalf of the Client
  • Prepare MAPO (maintenance purchase order) forms
  • Update dashboards with manual reports
  • Monthly verification, Ad Hoc reporting and data integrity checks

 

Requirements:

  • Fluent Polish and English in speaking and writing is a must
  • Fluent French and/ or German and/ or Hebrew and writing is a must
  • Bachelor's degree at least. Master’s degree is preferred
  • Job related experience is required in similar multicultural and constantly changing environment
  • Numerate and PC literate
  • Familiar with CAFM/CMMS systems
  • Self-motivated and ambitious
  • Results/ task orientated, with attention to detail and accuracy
  • Excellent time management and organisational skills
  • Excellent quality of verbal and e-mail communication
  • Punctuality, meticulousness, reliability and regularity
  • Ability to deal with stressful situations
