We are working as a recruitment provider searching on our Client's behalf for a person in the following role:
Data Process and Maintenance
Location: Cracow
Key Accountabilities:
Impact on the Business/Function
Centrally manage administration and communication of records destruction holds globally across company on behalf of the Hold Owner (e.g. Legal, Compliance or other GB/GF)
Initially as a handover, will be required to work closely with the temporary contractor (engaged to resolve system issues and embed standard processes) to obtain a full understanding of the Exterro system and help develop efficient and effective BAU operational processes. This will involve liaising with key stakeholders within RIG and Legal, as well as impacted business representatives and the 3rd party vendor on a regular basis
Once the system and processes are embedded as BAU, the role will require regular dialogue with Hold Owners to ensure new holds / releases meet agreed standards of scope, content and are communicated effectively through the Exterro system
Track and report upon acknowledgement of receipt by custodians to provide the Hold Owner with confirmation that their hold has reached their intended recipient
Additional responsibility will be for the generation and administration of monthly RIG MI through the reporting tool
Customers / Stakeholders:
Act as RIG process matter expert on destruction holds / releases
Collaborate with Hold Owners to clarify and agree records scope, identify impacted countries, businesses / functions, custodians
Develop strong relationships with key business and functional stakeholders when communicating / managing destruction holds
Collaborate with IT where global systems are impacted including emails in SourceOne
Work with RIG managers to ensure RIG MI is produced to required standards
Leadership & Teamwork
Undertake a leadership role in the ongoing communication and execution of holds / release management
Responsible for ensuring all relevant stakeholders / RIG managers and records community are fully informed of any new holds or changes / releases to existing holds
Operational Effectiveness & Control:
Drive the understanding and correct use of the Exterro holds system to deliver an effective holds communication processes
Introduce appropriate measures to evidence effective holds execution (outside Exterro system due to restrictions on function use applied by Group Legal)
Work with GROs and RIG team to oversee the execution of holds within impacted businesses / functions
Requirements:
Must have a minimum of 2 years records management experience with ability to demonstrate successful leadership of complex projects. Embedding records management processes is preferred although not essential
Possesses strong communication and influencing skills
