Administration / Facilities Associate


Administration/Facilities Associate will be reporting to Global Real Estate & Facilities team at Xerox Services.


The duties will include:

  • Supervising reception staff
  • Preparing and monitoring Purchase Orders (PO) for the Lodz office (collection of orders, orders placing, monitoring etc.)
  • Preparing admin related invoices for booking
  • Contacting with suppliers - looking for new suppliers, checking conditions, negotiating better terms of contracts, solving issues (for example - cleaning company, building maintenance company, Security Company)
  • Controlling fixed assets - projectors, cell phones, etc.
  • Monitoring and controlling stationary stock
  • Taking care of safety and health issues
  • Monitoring and distributing badges and parking cards
  • Supporting Social Fund and organizing company events (like Christmas party)
  • Running all necessary reports and assisting with projects if needed
  • Coordinating and managing BTOs (Business Travel Orders) of employees
  • Assisting guests of Lodz office (transfers, hotels etc.) and preparing meeting space for visitors
