Office Manager

Duties and responsibilities

 

  • Act as a intermediary between Technical and customers regarding producs specifications
  • Execute back office activities for the entire sales process (i.e.: offers, orders and contracts, return overviews and assistance with computing)
  • Act as a backup for Order Entry
  • Answer phones and direct all incoming calls to appropriate party promptly and efficiently
  • Communicate and handle incoming and outgoing electronic communications on behalf of his/her Managers
  • Assist managers with preparation of documents and presentation materials (using Powerpoint, Excel, and MS Word)
  • Organising meetings and preparing travel arrangements
  • Prepare and process data, documents and presentation material in English
  • Execute specifically assigned projects
  • Have intermediate / higher vocational education and experience in administration techniques or in secretarial related activities
  • Have work experience in assisting sales managers
  • Have work experience within an internationally operating organization
  • Strong in working with figures on a daily basis, analytical
  • Capable to work on one’s own and in teams
  • Good communication skills and an ability to establish and maintain effective working relationships
  • Good organisational skills and be able to work in a dynamic and proactive manner with good attention to detail
  • Have knowledge of and experience with SAP / CRM (preferably)
  • Strong practical knowledge of MS Office, including Word, Excel, PowerPoint
  • Fluent in English and German - verbal and written (preferably).
