AP Supervisor with German

Responsibility Summary:

Reporting to the GBS Accounts Payable Manager, the position is responsible to :

  • Supervise A/P departmental personnel in the day to day AP process of ensuring timely, and accurate payments to QVC vendors while ensuring that cash discounts, PO terms, and PCard rebate opportunities are maximized.
  • Work with department managers, merchandising personnel, and vendors to resolve issues as they surface
  • Perform diverse departmental processing duties and analyses, including but not limited to preparing and/or reviewing general ledger reconciliations, A/P control reports, wire and ACH payment processing and tax reporting (VAT and 1099 and others as required by specific country laws).
  • Assist with testing and approving AP system changes and/or implementations
  • Perform both formal and informal reviews, and coaching of staff members, and recommend departmental process changes, including personnel decisions.

Under the general direction of the GBS Accounts Payable Manager the position has the authority to:
  • Approve indirect invoices up to $20K, and direct invoices (offline), up to $250K.
  • Recommend departmental process changes, including personnel decisions.
  • Resolve personnel issues as they surface, keeping Manager appraised as necessary.
Provide general direction and guidance to other department personnel, for adherence to policies and procedures.

Key Accountabilities:

25%: Supervises the AP Department personnel by overseeing their day to day work of processing invoices for payment, ensuring the timeliness and accuracy of payments to QVC vendors, while maximizing cash discounts, PO terms, and PCard rebate opportunities. Also oversees aspects of the drop ship/consignment operations, as well as several vendor deduction programs. Ensures that departmental procedures and policies are followed. Works with other departmental, and merchandising personnel, as well as vendors to resolve issues and requests as they surface. Issues and requests may included but not be limited to account analyses and reconciliation, and payment processing.

25%: Performs diverse departmental processing duties and analyses, including but not limited to preparing and/or reviewing general ledger reconciliations, A/P control reports, wire and ACH payment processing and tax reporting (VAT and 1099) processing, and ensuring accuracy and deadlines are met.

25% Administers and/or assists with all the Company PCard modules in program and/or other corporate card program(s). Duties may include but not be limited to transaction coding, downloading reports, issuing/canceling program cards, setting up new groups and/or users, G/L account reconciliations, payment processing and reconciliation, and rebate reconciliation

15% Assists the GBS AP Manager in cooperation with IS&T to define, test and implement system modifications needed to meet the ever changing environment of the AP Department and the company.

10% Provides both formal and informal performance coaching of associate level staff members as needed, and recommends departmental changes including personnel decisions. Initiates employee reviews for direct reports ensuring their completeness, fairness and timeliness using the established company policies. Assists GBS AP Manager in maintaining and determining staffing levels and job descriptions and distribution of work for the AP department. Conducts regular staff, and 1:1 meetings to provide updates, discuss, and collaborate on changes for the department. Produces productivity reporting and works with GBS AP Manager in adjusting staff and/or staffing priorities as needed to ensure acceptable backlogs and productivity.

Critical Skills/Knowledge:
  • Hands on experience or working knowledge of Microsoft Office, including but not limited to Excel, Word, Access, and Power Point. Also knowledgeable on internet and intranet web applications and web browsers.
  • Excellent communication and organizational skills, with a great attention to detail and follow through capabilities.
  • Ability to work under pressure associated with managing a large staff, and the daily processing of a high volume of invoices and short time frames for processing. Flexible to changes in direction and/or priorities
  • Ability to interact with all levels of internal and external customers and personnel.
  • Working knowledge of SAP financial system, but proficiency on the AP, and G/L modules. Prior knowledge of inventory purchase order management processes a plus.
  • Bachelor’s degree in accounting, finance, or an equivalent combination of education and experience.
  • Two to four years accounts payable and/or inventory accounting experience including 2 years supervisory experience. Excellent working knowledge of general accounting practices.
  • Fluency in German and English
  • Ability to sit for prolonged periods of time, and be able to stoop and bend
  • Ability to comprehend complex analytical information involving vendor account reconciliations, and general ledger account postings
  • Ability to conduct oral presentations
