Are you looking for a challenging new Assistant opportunity? If you have experience in Personal Assistant role as well as fluent English this could be the perfect position for you.

 

On behalf of Sony Pictures Entertainment opening Shared Services Centre in Gdynia, we are looking for a Personal Assistant who will be handling all general administration support to the SSC Executive Team.

 

Duties and Responsibilities:

 

* Manage administrative activities and logistics for the SSC directors including organizing meetings, conference calls, T&E activities/ expenses

* Handle contacts with external parties/offices/authorities

* Screening telephone calls, enquiries and requests, and handling them when appropriate;

* Meeting and greeting visitors at all levels of seniority

* Organizing and maintaining diaries and making appointments

* Dealing with incoming email, faxes and post, often corresponding on behalf of their manager

* Prepare presentations and ad-hoc reports/ analyses

* Provide logistics for internal and external events

* Identify & manage contractors & admin service providers

* Send/ receive SSC Executive Team correspondence via most appropriate channel

* Manage the SSC administrative budget to provide services on time and within financial limits

* Provide ad-hoc English translations

* Manage logistics of SPE employees internal visits

 

 

Skills in & Experience Required:

 

* 2-3 years in Executive Office management in multinational company

* Knowledge of MS office package at proficient level – especially Excel, Powerpoint, MS Outlook and Word

* Knowledge of T&E logistics, expense management

* Superb knowledge of business English language

* Building presentations

* Organizing wide scope of internal and external events

* Cultural awareness and sensitivity

* Attention to details

* Ability to handle time pressure and work within tight deadlines

* General troubleshooting

* Ability to effectively communicate

* Ability to operate in an international environment
