IT PMO Specialist
Location: Kraków
This role facilitates the development and ongoing support of an optimised global Digital Cloud & Infrastructure Services portfolio, in ensuring senior management decisions lead to the fulfilment of strategic objectives through the delivery of programmes, projects, services and other activities. Primarily focus is on project/programme inception from prioritisation/categorisation/investment approval/interlock through to active reporting on delivery and associated quality assurance around this
Key Accountabilities:
Onboarding of new work requests and ensuring appropriate financial and technical resource coverage is available or forecast, prior to prioritization and then passing for execution either as business as usual or a project
Establishing strong relationships with stakeholders to confirm detail of requirements/requests and negotiating win:win agreements
Challenge submissions of new work with stakeholders to drive clear priorities and understanding, raising and escalating risks as appropriate
Collation of submissions to ensure all information is gained necessary to allow initial assessments of work and decisions to be made
Monitor existing resource workloads to allow 'what if' analysis on re-prioritising new work received or possible surplus or shortfalls, actively resolving or escalating issues as they arise
Ability to review new requests and align with investment v other priorities and forecast accordingly
Responsible for liaising with various members of the team and ensuring that financial forecasts are up to date
Reviewing associated finance tools to confirm funding assigned prior to work being undertaken
Produce Resource Utilisation Requirement summaries for analysis to identify potential issues, over utilisation or lack of appropriate skills for future work
Report any resource conflicts or shortfalls which could prevent the ability to deliver
Proactive contribution to quarterly resource forecasting process
Establishment of consistent quality standards and practices to ensure successful delivery via adherence to governance arrangements, monitoring of performance and gathering of data for statistical reports
Checking alignment to known IT PPM Delivery Standards, Methodologies to ensure compliance to defined audit requirements
Ongoing quality assurance of the portfolio/projects including supporting documentation, to ensure continuous improvement to project delivery and portfolio management processes
Ongoing reviews of status reports identify common themes i.e. risks/issues/opportunities and drive these through to successful conclusion, ensuring lessons learnt are continuously communicated and/or considered prior to the onset of any new work
Review of project start-up and close-down activities ensuring all standards and requirements are met
Creation of material and arrangement of various governance meetings, including secretariat responsibilities
Collation of various data, analysis, understanding and presentation to various audiences
Input into monthly Financial reporting
Requirements:
Min 2 years project management/PMO experience
Excellent Microsoft Office skills, particularly Excel and PowerPoint a must
Below are preferable, though not a necessity:
Previous background within using SMART, GDPM and other financial tools
Project Management Certified (e.g. PMP, PRINCE2, CPMP, APM)
Understanding of Digital, Technical and Cloud Infrastructure
Jira/Confluence experience
