With its administration, insourcing and risk management services, the company focuses on the administration and structuring of funds, securities, real assets as well as alternative asset classes and offers complex risk management solutions.
To achieve our ambitious growth goals we are currently looking for an Internal Organisation Manager(Workplace Management).
Key Responsibilities / Accountabilities:
The Key Person will be responsible of ensuring management and support of internal processes within UI Group.
These include in particular:
1. Space and occupancy planningwithin the areas rented by UI, i.e.
▪ Management of “Condeco” Space Management Software (Room Booking, Workplace Management);
▪ Coordination and execution of internal workplace relocations;
▪ Coordination and implementation of tasks in connection with occupational health and safety.
2. Office managementfor the rented office space, i.e.
▪ Acceptance/receipt of all issues that require fixing in the business premises;
▪ Management and coordination to get the identified tasks with the respective service providers fixed;
▪ Quality verification, invoice checking and approval of invoices of work executed by external service providers.
3. Control and monitoring of onboarding processesfor employees, i.e.
▪ Setting up workstations;
▪ Ensure initial equipment of the employees;
▪ Issue and documentation of access cards/code cards
Qualifications, Experience/ Skills and Key Competencies
The successful candidate will bring the following:
• Good technical background;
• Previous experience in facility management / office management
• Strong organization and / or project management skills;
• Hands on mentality;
• German language skills would be a plus.
