Executive Assistant


Currently, for our Client – a leading FMCG company - we are looking for an candidate for the position of Executive Assistant.

You will be responsible for:

  • Supporting management team with various administrative and support tasks including:
  • Assisting in administrative matters and acting as a point of contact for internal and external clients and stakeholders - both locally and across the globe;
  • Proactive and extensive diary management, arranging meetings, rescheduling, sending confirmation, participation tracking;
  • Preparing agendas, minutes and action plans;
  • Coordinating meeting room bookings and logistics for conference and video calls;
  • Organizing international travel arrangements, Visas, hotels, transfers;
  • Organizing and supporting visits;
  • Processing expenses and invoices;
  • Dealing with external suppliers;
  • Managing correspondence and ensuring smooth distribution of incoming and outgoing post;
  • Assisting with organizing company/team events;
  • Preparing PowerPoint presentations and Excel reports if needed;
  • Managing the assigned independent projects.


Who are we looking for:

Cheerful and enthusiastic professional with proven experience in administrative/executive assistant role in dynamic, business environment (3-5 years) with the following set of skills:

  • Proactive and hands-on approach with solution driven attitude;
  • Great ownership and focus on results;
  • People oriented individual who thrives in a busy and fast-paced environment;
  • Strong networking and communication skills;
  • Dynamic and quick- thinker who thinks out of the box;
  • Commitment to delivering high quality service with strong attention to details;
  • Flexible regarding urgent requests and able to multitask;
  • Excellent organizational skills with the ability to prioritize effectively;
  • Excellent communication skills in Polish and English– both written and verbal;
  • University Degree;
  • Solid knowledge of MS Office tools.
