Main responsibilities:

As a BSO Admin Direct Coordinator you are responsible for delivery of the Admin Direct service from the Warsaw Admin Direct hub back office in collaboration with the front offices in the regions.

You are responsible for:

  • Escalating customer concerns as needed
  • Balancing the shifts and workload of individual Sr. Administrators taking into account sick leaves, absences, holidays, etc.
  • Facilitating knowledge sharing globally
  • Ensuring global collaboration between front and back offices
  • Proactively meeting all agreed deadlines
  • Training all new Admin Direct administrators and introducing other new BSO Sr. Administrators to the team and the Admin Direct model
  • Staying up to date with changes in the organization and sharing this knowledge and impact on the BSO with all back office Sr. Administrators
  • Ensuring that all back office Sr. Administrators have measurable SMART goals and an individual development plan (IDP)
  • Prioritizing your workload, and that of others as appropriate, to achieve personal and work unit targets
  • Proactively arranging for coverage when the Poland office is closed for national holidays and communicating this plan with the front offices
  • Documenting all process, training material, and service level agreements and storing on the AdminDirect SPO site
  • Owning, maintaining, and granting permissions to the GMD Global AdminDirect SPO site
  • Continuously updating the AdminDirect customer list and submitting requests for concur delegate access to IT and Finance Direct at least monthly or more often as required

You will demonstrate:

  • The ability to take the initiative to respond to rapidly changing priorities
  • The ability to work independently with only general guidance
  • A can-do approach, with excellent time management and organizational skills
  • You possess Excellent interpersonal and communication skills as demonstrated by the ability to work effectively with others at all levels of the organization and externally
  • Excellent knowledge of essential IS/IT administrative systems to increase efficiency in day to day work

You will monitor the customer interface and customer surveys in order to:

  • Understand key areas of demand and to identify areas for improvements
  • Provide statistics of handled issues, comparisons by different functions, customers, global interactions etc.
  • Collect feedback on AdminDirect performance and act on issues that need to be addressed

You will lead:

  • Regular team review sessions
  • Ad hoc training as required
  • Monthly global AdminDirect video calls to link the front and back office and facilitate knowledge sharing, skills development, and ensure delivery of a consistent globally harmonized service
