Senior HR Services Specialist with French or German or Italian

Responsibility Summary:The Senior HR Services Specialist will be responsible for the correct and timely HR data processing, according to the Service Level Agreement (SLA) and/or project deadlines and to the expected quality. The Senior HR Services Specialist will also interact with the Client and employees on a daily basis via phone and email, ensuring proper resolution of HR-related requests. Another key aspect of the job is the cooperation with other delivery team members, and making sure that all the necessary documentation is up to date.

Key Accountabilities:

Execution and delivery of HR Services

  • Delivering HR services, as described below, in the following areas:
- HR administration (new joiners, leavers, personal data changes, promotions, internal transfers, employment conditions changes)
- Compensation (Labour Market Surveys, Pay Programs Design & Deployment, Job evaluation, upload mass data changes in WD, annual salary increase process, bonus payment, advice on policies & procedures)
- Learning & development (manage contents of online learning system, manage classroom training logistics, advice on policies & procedures)
- Performance & career planning (support annual talent review process, succession planning process, annual performance review process, goals setting process, advice on policies & procedures)
- Talent acquisition (sourcing, screening, initial candidates’ evaluation)

  • Provide HR and business leader support - assist in large projects, reorganizations, communication planning and cascades
  • Track and report HR metrics and identify trends for the COEs
  • Execute complex HR Processes and cases, in line with existing policies, SLAs, and procedures, assuring high quality data management, as well as documentation, including on-going support to employees
  • Liaising with HR Business Partners, HR in the Country, Payroll, Employees, and Line Managers, as required in order to resolve cases
  • Provide high-quality, timely and professional customer service
  • Understand the QVC employee philosophy and culture – promoting and communicating whenever appropriate
  • Share best practices within the team, striving for continual improvement in service delivery, participating in improvement initiatives Data Management, Reporting and Auditing
  • Serve as point of contact for organizational structure changes. Including; visio org charts, project plans, communication planning and writing, assist in updating job descriptions, coordinating workflow, maintaining, tracking and reporting HR metrics. Monitor impact on HRIS, audit, and ensure changes are completed in the system
  • Maintain employee records and ensures the integrity of the HRIS database and processes by performing regular data and technology checks, identify any anomalies, and investigate complex scenarios received from HR Services Specialists
  • Manage cases according to established ways of working and interact with third party service providers, including:
  • Logging and tracking cases in the case management system ­ Taking ownership of end-to-end processes ­ Interacting and communicating with third party service providers ­ Timely escalating complex queries to SME’s and policy teams
  • Work with HR leadership to develop appropriate metrics and develop long term approach to ensure accurate data and reporting capabilities such as:
  • Monitor, audit and follow up on late Year-end performance reviews, running reports to ensure accuracy of data and to identify issues
  • Provide compliance audit support, performance metrics, analytics and reporting for HR Services delivery
  • Provide support for the annual merit review process (Data integrity checks, analyze data to account for dual pay employees, acting up, temp promotions etc, running Letters and dealing with any queries following completion of the process)
  • Establish and maintain internal reports for HR Services leaders to review service delivery, individual team member performance, and compliance audits
  • Run, produce, and distribute required reports as requested for compliance, legal, compensation & benefits design and administration
  • Compare actual data to audit reports to locate questionable data
  • Work with COEs on special projects gathering data, reporting & analysis and providing insights and recommendations Process Improvement
  • Support the Process Improvement Project Leader with gathering and validating information for Process Improvement work
  • Complete Process Improvement work as assigned by the GBS HR Services Team Lead, i.e. review and measure existing processes through interviews, reports, direct observation, flowcharts and work distribution chart.

Critical Skills/Knowledge:

  • Customer, service mind-set and a proactive way of working to service the customers in a “can do” attitude
  • Experience working in HR systems (Workday experience is an asset) and strong working knowledge of MS Office
  • Experience using Case Management software
  • General knowledge of Lean Six Sigma methodology, qualification is an asset
  • Excellent verbal and written communication skills, ability to cooperate in international, matrix organization and consumer oriented attitude
  • Ability to work independently and as a team member
  • HR administration experience/awareness of HR policies and procedures
  • Analytical capability to analyze, interpret data and provide insight
  • Position requires initiative to participate in cross-functional project teams
  • Ability to handle multiple tasks simultaneously in a fast-paced environment
  • Ability to handle confidential and sensitive information
  • Experience in HR Shared Services for a global company
  • 3 years of experience in an HR function
  • Very good knowledge of English (B2 or higher)
  • Ability to speak Italian, French or German (B2 or higher)
  • Completed degree in higher education (BA)
  • Experience in HR Shared Services for a global company (is an asset)
