Having the overview of all HAVI Logistics’ projects with need for central resources (Finance, IT, OPS, HR). Analyzing and providing a risk management (where relevant) to project portfolio. Flagging the impact of specific projects on the project portfolio and the organization. Active maintenance of the HAVI Logistics Strategy tracker and Business case follow-up controlling. Giving recommendations for next steps and further development of the project portfolio. Providing necessary information to the management to control and take decisions on resources or risks according to priorities and strategic targets.

Skills & Experience:

• University degree, business administration or business informatics. In specific cases the job relevant, necessary expertise can also be acquired through professional experience only
• At least 3 years of professional experience in a multinational company in the area of project management or Controlling, preferably within the logistics sector and with a minimum of 2 years in a Project Manager or Project Portfolio Manager function or F&PA/Controlling in an international environment
• Fluent English

• Analytic Skills and ability to analyze projects
• Experience with Project Portfolio Management concepts and processes
• Knowledge of methodologies and governance processes
• Solid Knowledge in internal (compliance) processes and guidelines
• Solid background in Project Management
• Profound knowledge of standard office tools (MS Office)
• Very good intercultural communication skills
• Network builder. Need to be active in getting to know people and for local leaders to be a known person
• Pro-active person taking initiative
• Attention to detail, being precise
• Take over responsibility for own tasks
• Ability to work independently and as a team member

Responsibilities:

Project Portfolio Management:

• Analyze the HAVI Group project portfolio as to different characteristics (strategic pillars, solutions, areas, priorities, resources, etc.), give recommendations and propose measures to the GLT and other stakeholders
• Prepare project mandates for taking decisions
• Collect and analyze Highlight Reports from project managers on active projects of the HL portfolio, as well as incorporate relevant project information (active project-controlling of the individual project and the HAVI Logistics’ project portfolio) for sound and qualitative decision-making of the top management
• Secure provision of internal central resources
• Manage the project portfolio and monitor critical resources
• Take decisions in own area of responsibility (related to i.e. projects within the portfolio, Governance Process, Portfolio Management services and tasks)
• Flag resource issues (human, technical and financial) to Project Boards/GLT in order for them to (re)prioritize according to strategic importance of the project Other Tasks related to the Project Portfolio Management function
• Support / Guide all stakeholders of projects to understand all relevant aspects of the portfolio and PMO related processes
• Plan PMO meetings/workshops with internal and external attendees (local and international guests)
• Ensure the realization of quality targets according to the governance process and in-line with the HAVI project management methodology Other Tasks related to the HAVI project management methodology

Project Portfolio Management function:

• Support / Guide all stakeholders of projects to understand all relevant aspects of the portfolio and PMO related processes
• Plan PMO meetings/workshops with internal and external attendees (local and international guests)
• Ensure the realization of quality targets according to the governance process and in-line with the HAVI project management methodology

Relationships:

• Liaise with related stakeholders to monitor the compliance to the rules along the Portfolio Management Governance Process
• Liaise with the Regional Project Portfolio Managers to get support on specific topics or delegate work that belongs in their region
• Maintain and improve relationships to internal and external customers by providing necessary information, also pro-actively
• Ensure positioning of the central Portfolio Management as competent, appreciated and well accepted contact for all requests within project portfolio
• Act as first point of contact of the Portfolio Management within the HAVI Group and towards other external contacts

Communication:

• Ensure that internal platforms are kept up-to-date (real-time) with information on the PMO (i.e. HAVInet)
• Keep the Logistics PMO SharePoint up-to-date

Portfolio Management Development

• Optimize the governance process steadily
• Continuous improvement of the PM function and its related processes
• Support projects in alignment with the PPM function
• Continuous improvement of own processes and way of working to further develop and improve the overall Project Portfolio Management Can act as a backup role for the day-to-day Portfolio Management admin topics

Strategy tracker and BC-follow up

• Running of the new Strategy tracking process, with the defined GLT level Strategic initiatives.
• Independent analysis of the Strategic initiatives, their impacts and potential overlaps on a Global scale
• BC-follow up after Strategic initiative (project) closure, e.g. up to 1 year (to report and analyze if the projects have delivered the benefits that were committed in the Business Case), main contact the related line organization.
• High exposure with HAVI Senior mgmt. with the participation to the Strategy process

Risk Management

• Execution of risk based reviews from projects, recommendations given
• Partnering with PM’s and other stakeholders to improve risk managemen
