Personal Assistant
Key Accountabilities:
Administration
- Manage the Director’s calendar and support other GBS leaders if required.
- Ensure Director is provided with all relevant information / documentation needed for each meeting attended
- Ensure the Director and GBS leaders are informed in advance of upcoming events
- Keep in touch with the Director when off site or away from the office so that Director is fully aware of commitments and urgent messages
- Organize and coordinate meetings, both internal and external, ensuring required documentation and equipment is available. Coordinate meetings across the different time zones when required.
- Attend meetings at the request of the Director, to take minutes of agreed actions and follow up to ensure delivery.
- Arrange travel and accommodation for Director and other GBS leaders.
- Update for Director organizational charts and contact details, correspondence, minute taking, filing, faxing and photocopying etc.
- Cover the Director’s phone, screen and make calls on behalf of Director and other management conveying messages clearly, promptly
- Manage the stationary supply for the Director’s office
- Track the Director’s expenses including coordinating the completion of monthly reimbursement forms and the reconciliation of credit cards and receipts.
Departmental Administration
- Support GBS leadership team with relevant administration support as necessary.
- Prepare and distribute team meeting agendas and capture minutes and track actions
- Complete purchase orders for the department and get them approved and processed in a timely manner
- Accurate tracking of all fixed cost expenditure and reconciliation of invoices for the Department including obtaining authorization and processing in a timely manner to support the prompt payment of suppliers
- Ensure that the Department runs as smoothly as possible and be the first point of contact for Departmental queries
- Greet visitors to the department, organize venues, conference/presentations facilities and refreshments if required
- Maintain the departmental filing systems
Critical Skills/Knowledge:
- Proficient in written and spoken English.
- Skilled in Microsoft Office including calendar management
- Exceptional verbal and written communication skills with a confident telephone manner
- Excellent attention to detail
- Good interpersonal skills with the ability to interact with all levels
- Excellent organizational skills with the ability to work with minimum supervision, including experience of managing projects in line with agreed timescales.
- Be discreet and have the ability to handle confidential issues
- 3+ years of administrative support experience
- Experience managing travel arrangements, expense reporting, and invoice processing.
