As Office Coordinator you will be responsible for ensuring the smooth running of the Krakow office and you will be the first point of contact to visitors, customers, and vendors.

Key responsibilities:

  • Reception duties (handle correspondence, ensure the proper flow of documents, manage ID and entry cards for visitors/clients),
  • Extensive calendar and travel management (arrange meetings, booking rooms, hotels, planning refreshments),
  • Assist with day-to-day operations of building maintenance,
  • Build and maintain a good relationship with clients,
  • Provide general office support (ordering stationery, faxing, archiving, opening and distributing post, dealing with queries, etc.),
  • Create purchase orders and assist in invoicing,
  • Contribute and maintain internal/external documentation,
  • Time and Attendance reporting,
  • Closely Cooperation with Managers.

Requirements:

  • Previous experience as an Office Assistant or relevant role,
  • Fluent English language,
  • Excellent organizational and interpersonal skills,
  • Positive attitude,
  • Knowledge of MS Office and office management software,
  • Basic accounting knowledge will be a plus.
