Gorilla is a 22 year-old web design and development agency specializing in ecommerce for multi-channel companies. We have a unique group in a client-driven culture looking to expand our reach to exceed the expectations of our clients.

Gorilla is seeking a part-time Office Administrator to join our team in Wroclaw. This individual will be responsible for coordinating office operations to ensure a well-functioning work space for our employees. The ideal candidate will be extremely organized, detail-oriented and preferably have an administrative background or relevant experience.

 

Responsibilities:

  • Greet and welcome people to the office, determine purpose of their visit, direct or escort them to specific destinations
  • Procure and manage all weekly office vendors and services (food/beverages, cleaning, communication, etc.), be responsible office appearance to remain organized and tidy
  • Manage the distribution and preparation of mail, messages, and/or courier deliveries, scan legal documents and employee and vendor files. File all paperwork electronically, make paper copies and send to the appropriate recipient
  • Process and record employee expense reports, handle documentation needed for tracking business travel
  • Arrange company meetings and presentations, plan company/office events
  • Perform other administrative support tasks for the management as requested
  • Organize and coordinate social corporate events like: Fridays, Summer Party, New Year Party, other social engagement events in cooperation with HR. Collaborates with providers, prepares offers/options for discussion, engage and provide communication
  • Works with consulates/visas centers to obtain visas for employees
  • Cooperate with local authorities provides background check of employees when needed
  • Cooperate with facility administration / building management of the business center as to interventions to solve problems with building facilities and systems
  • Coordinate work places for new hires to be organized in time (in cooperation with HR manager, employee’s manager and office sysadmin)

 

Requirements:

  • 1 + years of experience as an Office Administrator, Executive Assistant or related position preferably within a technology company or consulting firm
  • Excellent organizational skills and the ability to effectively multitask
  • Experience in a variety of administrative and clerical tasks
  • Expert level written and verbal communication skills, strong decision making ability and attention to detail
  • Ability to interact with all levels of employees in a fast paced environment, ability to handle pressure
  • Proficient in Microsoft Outlook, Work, Excel and Power Point
  • Bachelor’s degree preferred
  • Experience of Corporate event organization, employee relationship and communication
