JOB PURPOSE:


On behalf of our client, one of the biggest international medical companies, we are looking for Business Assistant for the Regional Business Director as well as the whole Leadership Team in providing administrative as well as marketing and educational support. It will be replacement agreement for 8 months with possibility for further cooperation.


RESPONSIBILITIES:
General:

  • Assist the Regional Business Director as well as the whole Sales Team in various projects such as handling of communication related tasks (writing of Leadership Team minutes, intranet updates etc.), update purchase order processing, event organization and support in distributor/customer relations.
  • Provide adequate admin support to the Regional Business Director with regards to expenses, business cards, and people soft updates
  • Organize travel arrangements and local accommodation for Business, Marketing and Education Managers as well as customers
  • Collaborate with sales support employees in the other countries
  • Purchase Orders and Payments in SAP, Enter orders and send order information to suppliers, Ensure payment


Events management:

  • Maintain the yearly event calendar for Leadership Team
  • Organize and coordinate in cooperation with local country sales supports events such as Kick off & Regional sales meetings, Product & Sales Trainings to employees, marketing and education events, support events during international congresses – invitation making and coordination of logistics for lunches and dinners for clients, VIP visits, local & international Medtronic education trainings, patient events. Organize the bookings of hotels and venues, send invitations to participants, organize required materials.
  • Request approvals and prepare all legal documents for customer related events
  • Make sure recharges and payments are correctly and timely done for each event (SAP)


Sales support:

  • Distributor agreements and renewals: Coordinate and follow-up with HQ and Legal that all due diligences are properly completed and contracts signed on time

Products/ marketing:

  • Maintain updated list of marketing materials available (Samples, flyers, brochures, literature, give-always etc.) for the region and share it with the local teams
  • Ensure communication of project progress and material updates with local sales support employees

Education / Clinical:

Internal Education

  • Maintain updated list of employees’ trainings and skills

HCP Education – training

  • Register and confirm participation for educational events in close co-op Education Manager
  • Lead and coordinate arrangements for education session such as hotel reservations, dinners, travel arrangements etc.
  • Attend the regional education courses and act as the coordinator on site if needed
  • Provide analysis to evaluate impact of the programs


Contracts/ BCS/ Legal issues / Finance

  • Coordinate and follow up with Legal: set up and renewals
  • Ensure proper follow-up on duty fulfillments

  • Ability to run data analysis and reports with Excel
  • Experience with SAP, PeopleSoft an advantage
