Administrative Assistant/Personal Assistant

Our client is a leader in an online proofing system that streamlines the process of managing document reviews, proofing and approval tool built specifically for brands, agencies, designers, print and production.

The role is global in scope and you will be working with people from around the world. You can be based anywhere in Poland and work from home or from co-working space if you prefer. You will be reporting directly to the company Chief Executive and Chief Technology Officer.

 

You will be responsible for:

 

  • Providing administrative support for the Management Team as part of their daily commitments
  • Organizing meetings with customers/partners/supplies
  • Preparing contracts (based on standard forms)
  • Entering data in the company accounting system and other administrative tasks
  • Organising events such as the quarterly company meet ups (taking care of logistics for meetings)
  • Organising travel arrangements within Poland and overseas including accommodation, transfers and meeting preparation
  • Organising the company holiday diary, etc.

 

Requirements

 

  • Fluent English, both written and spoken
  • At least four years experience in a similar role (ideally in a non-Polish company)
  • Ability to work remotely with rest of the team
  • Excellent administrative, secretarial, planning and organizational skills with the ability to work to tight deadlines on a range of tasks at any time
  • Ability to administer complex national and international travel/accommodation arrangements ensuring company guidelines are adhered to and business needs are met
  • Excellent interpersonal skills and the ability to build strong relationships with both internal and external customers
  • Flexibility, patience and diplomacy coupled with the ability to prioritize and multi task using your own judgment when necessary, with discretion at all times
