Administrative Assistant II
Responsibilities:
• Acting as Connecting point in the team & First reliable and representative contact for internal / external contacts
• Complete a broad variety of administrative tasks for Global Director including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is occasionally confidential; arranging travel plans, itineraries, and agendas; compiling documents for meetings, Preparation of presentations and report material
• Plan, coordinate, and ensure schedule is followed and appropriately prioritised; keeping me well-informed of upcoming commitments and responsibilities, following up appropriately
• Plan and execute virtual team events
• take on special projects as needed
• Manage confidential information relating to budgets, contracts, etc
• Independent in the daily work as well as a close collaboration with the Director, his team or in cooperation with other internal organizations
• Manage communications and virtual team environment ( Webex Teams, Team Engagement, Team Calendars etc)
Qualifications:
• A team Player & fun to work with
• Experience in planning and organizing
• Experience providing administrative support
• Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
• Experience/Passion for social media, communications
• Creative, Good Powerpoint skills
• Very strong interpersonal skills and the ability to build relationships with a range of stakeholders
• Great written and verbal communication skills
• Demonstrated proactive approaches to problem-solving with strong decision-making capability
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, demonstrate the highest level of customer/client service and response
• Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment
• Bachelor's degree or equivalent
• Demonstrable experience drafting internal and external communications
• Proficient in office applications (e.g. Microsoft Office, Google Docs)
• European language skills a plus
