Job Description
For our Client, international company from Real Estate sector, we are looking for a Team Assistant Asset Management
Responsibilities:
- Provide comprehensive administration support to the Asset Management (AM) Leader and his team
- Ensure telephone coverage, conference calls, meetings and travel arrangements for Asset Management team (flights, hotels, visas, trains, car bookings, expense submissions, etc.)
- Maintain calendar of Asset Manager
- Scan documents and make photo-copies
- Co-ordinate IT support for the AM Department, communication with IT Help Desk
- Update contacts (business cards) in Sales Logic system
- Purchase laptops and other IT equipment for new AM hires
- Manage approving process of Purchase Order numbers and invoices processing
- Track and evidence documents for signature
- Help to prepare accurate presentations, charts and reports
- Work closely with the other administrative assistants across Europe
- Organize events, visits from other offices, off sites and conferences
- Help to coordinate AM web pages updating
- Handles special projects as assigned
- Support the all documents and invoices filing, coordination with external suppliers of the AM team, liaison with partners and contractors
- Act as project-coordinator as needed for the Asset Managers
Required skills
Requirements:
- 3+ years secretarial experience
- Experience from Legal / Real Estate
- PC skills: very good MS Word, Excel and Outlook skills (good PowerPoint and graphic skills are a plus)
- Detailed oriented and organized (project management skills desired)
- Ability to multitask
- Autonomous
- Takes initiative
- Excellent interpersonal, communication and listening skills
- Outstanding team player
- Ability to interact with all levels of Management
- Proven ability to work effectively under pressure & meet deadlines
- Customer focused
- Willing understand the business
- Excellent level of English
